What is a delegation?

Delegation temporarily reassigns tasks to another employee, enabling that employee to perform individual actions on your behalf for a set period of time. The employee's access is restricted to the delegated business processes and can only take actions within the limits of your security privileges. 

Delegation does not remove responsibility (i.e., ownership) for the task that was initially assigned to you. When the delegation period ends, any incomplete delegated tasks revert to the original owner.

I will be away from the office on extended leave.  How do I delegate my Workday tasks to another person?

To start the process, type My Delegations in the main search bar, then click Manage Delegations

I am a manager of an employee who is out on leave unexpectedly.  How can I request delegation of their Workday tasks?

Gather the information below before submitting your request:

  1. What is the employee's name?
  2. Why do you need to delegate their Workday task?
  3. What are the start and end dates of the delegation?
  4. Who will serve as the primary delegate of the Workday tasks?
  5. Who will serve as the backup delegate?
  6. Do you want to delegate all Workday tasks or specific business processes?
  7. Do you want to display the tasks in the employee and delegate's Workday My Task inbox? 
  • If yes, the employee and delegate can see and act on tasks. 
  • If no, the employee's My Task inbox will appear empty while the delegation is active. Tasks will only be visible to the delegate. 

Once you are ready, use the Request for Creation of Workday Delegation on Behalf of Other Worker service.
