Tips on managing the ownership of a group account

As the new owner of a group account, you will manage a separate email account that is distinct from your personal UNLVMail account. You will have two email profiles: one linked to your personal UNLVMail account (e.g., firstname.lastname@unlv.edu) and the other linked to the group account (e.g., department.gradcoord@unlv.edu, math@unlv.edu, college.dean@unlv.edu, etc.).

After UNLV IT transfers ownership of the group account to you, you will need to:

  • Reset the password for the group account
  • Create a new Google Chrome profile for the group account
  • Enable Okta Verify multi-factor authentication (MFA) for the group account

Reset the password for the group account

Once the ownership of the generic account has been transferred to you, UNLV IT will send a password reset email from ace-noreply@notifications.unlv.edu to your UNLVMail account. The link expires in 7 days, so make sure you change the password within that period. Here is an example of the password reset email:

To reset the password, click on the Reset Password button and follow the instructions to change the generic account's ACE password. 

Note: This will not change the password for your personal UNLVMail account. 

Create a new Google Chrome profile for the group account

To make managing your group account easier, you will need to set up a separate Chrome profile. This allows you to seamlessly switch between your personal ACE account and group ACE account without having to log in and out repeatedly. 

By creating a separate Chrome profile for the generic account, you will be able to access DocuSign links sent to the account. Learn more information about opening DocuSign links sent to your generic account.

To create a new Chrome profile:

  1. Open Google Chrome. At the top right, click on your Chrome Profile Picture  
  2. Select Add from the drop-down menu.

  3. A new window will open up, click Sign in and sign in with the group account's full email address (e.g., accounting.gradcoord@unlv.edu). 
  4. You will be redirected to the ACE sign-in page. Sign in with the generic account's ACE ID and Password. Do not use your personal ACE ID and Password.

  5. On the next two screens, click Continue to verify that it’s you and that your organization will manage this profile.
  6. On the Turn on Sync screen, click Yes, I’m in to finish creating the profile.

Switch between personal and generic profiles
To switch between your personal profile and the generic account profile, at the top right, click on the Chrome Profile Picture  and choose the profile you want to switch to.

 

If your colleagues need access to this account, consider adding them as email delegates instead of sharing the password. This ensures better security and accountability.

Enable Okta Verify multi-factor authentication (MFA) for the group account

Multi-Factor Authentication (MFA) is not a requirement for group accounts at this time, but it is highly recommended that you enable it for added security. To enable MFA for your group account:

  1. Switch to your group account Chrome profile.
  2. Open a new browser tab and go to https://ace.unlv.edu. Sign in with the group account's ACE ID and password if prompted.
  3. From the ACE Dashboard, click on the account drop-down at the top right and click Settings.

  4. In the Security Methods section, click on Set up next to Okta Verify.
  5. Enter the ACE password when prompted, and follow the on screen instructions to set up Okta Verify with your mobile device. If you do not have Okta Verify installed on your device, you can download it for iOS or Android

Note: We do not recommend sharing the login credentials. If multiple people need access, we recommend adding them as email delegates. If that is not possible, you can add multiple devices via Okta Verify by selecting Set up another.
