Setting Up Zoom AI for Web and Workplace

What is Conversational AI for Zoom Workplace and On the Web?

Conversational AI functions like a chatbot and you can access it only outside of your meetings. It can be used either direcly in your Zoom app, also known as Zoom Workspace, or it can be used online, like other popular generative AI models. Conversational AI in Workplace can provide information from your Zoom account, like past meetings. If you enable access to your UNLV account’s Google Drive and Gmail, you can also ask it questions relating to data from your UNLV Google account and calendar. It is limited to this.

On the web version, it can use data from public webpages on the internet, your Zoom account (past meetings, transcripts, etc.), and from your UNLV Google account, if you enable access, making it the most robust AI feature Zoom has to offer.

Online, at ai.zoom.us, Zoom AI appears more as a full-window chat, rather than a side panel. It includes prompts for coaching, meeting recaps, and other productivity chats you could start with the bot.

Enable Conversational AI for Zoom Workplace and Web

  1. Log into your Zoom account at it.unlv.edu/zoom
  2. On the left-hand navigation, select Settings
  3. Under the Zoom AI tab, toggle the switch to ON beside "Show Conversational AI."
    a) You can also select "Save and Use Memories when Responding" for a more personalized experience, but it is not required.

Provide Zoom AI Access to Your UNLV Google Account Files

Now that you have enabled Zoom AI, you can allow it to access your UNLV Google account’s data. This is optional and is not enabled by default. Zoom AI can still be used without Google access, but can only provide information on Zoom-related queries (past meetings, upcoming meetings, etc.). There are two different processes for setting it up in Zoom Workplace versus on the web. We will go over both below.

For both, you must first have your calendar and contacts integration set up.

Enabling Access for Zoom AI in Zoom Workspace

  1. Log into your Zoom account at it.unlv.edu/zoom
  2. On the left-hand navigation, select Profile
  3. Scroll to the bottom of the page, to the header Others. You will see your Gmail account and current permissions Zoom has. By default, Zoom has read/write access to Google Calendar
  4. To add permissions for Drive and Gmail, select Edit

  5. Tick the box with the permissions you wish to enable, then select Next

    The available permissions: Calendar, Contacts, Drive, and Mail. There are checkboxes for "Read" and "Write" next to each.
     
  6. After selecting Next, you will be promoted to sign back into Zoom via Google, and will also have to confirm that you enabled more advanced permissions in your UNLV Google account for Zoom. Click Continue for both prompts

Now, conversational AI in Zoom Workplace can use data from these Google services to provide responses to your questions.

Enabling Access for Zoom AI on the Web

  1. Access Zoom AI online at ai.zoom.us
  2. On the left-hand navigation near the bottom, select the settings gear icon
  3. In the Settings window, select Connectors
  4. Here, you will see a list of available connectors.
    a) If you have one connected to Zoom AI already, it will display the Disconnect option
    b) If you have not yet added it, it will display the Connect option

  5. Select Connect beside the connector you wish to link to your account
  6. You will be prompted to choose a Google account. Be sure to select your UNLV Google account (@unlv.edu or @unlv.nevada.edu). Personal Google accounts are not supported for this feature
  7. The screen will now display a prompt which says, “Zoom wants access to your Google Account.” Select Continue
  8. Zoom will then indicate that you are about to connect the Google app to your account. Select Confirm

  9. If the link is successful, a confirmation page will appear, then automatically redirect you back to Zoom AI on the web
